Virtual Office Hours

We have started setting up "virtual office hours" to make it easier for you to contact us.


Virtual Office Hours will not be held the weeks of Christmas and New Years. They will resume the first week of January. Please open a support ticket instead.

Scheduled times (except holidays):

Day Times (MDT)
Monday 9:00am - 11:00am and 2:00pm - 4:00pm
Tuesday 9:00am - 11:00am and 2:00pm - 4:00pm
Wednesday 9:00am - 11:00am
Thursday 9:00am - 11:00am and 2:00pm - 4:00pm
Friday 9:00am - 11:00am and 2:00pm - 4:00pm

Other times are by appointment. The schedule may be updated weekly.

The intent of these hours is to make it easy to drop in and start talking to us.

How to Join

We have tried several platforms but so far Zoom is the easiest to use, in spite of some usability concerns. This is subject to change and may be different in the future. Please be aware that your name and other Zoom info is available to other people in the channel.

Note: To access the channel, you must be signed in using your BYU credentials via SSO (single sign-on) in the Zoom client. If you're signed in using separate credentials, you will not be able to find or join the channel.

From a desktop client

Follow these steps to join the Zoom channel:

  • Log into on the Zoom desktop client as normal
  • Click Contacts at the top (next to Home, Chat, and Meetings)
  • Click the + next to Contacts and Channels
  • Click on Join a Channel in the drop-down menu
  • Click the checkbox next to
  • Click Join at the bottom

From the Zoom phone app

Follow these steps to join the Zoom channel:

  • Open the Zoom app on your phone
  • Tap Contacts at the bottom (next to Meet & Chat, Meetings, and Settings)
  • Tap the + at the top next to Contacts and Channels
  • Tap Join a Public Channel in the drop-down menu
  • Search for
  • Tap

After Joining

After joining, send a very brief chat message stating what you would like help with. Be aware: all users in the channel can see your chat messages, not just staff.

If no one responds after 5 minutes, please send another message. Unfortunately Zoom notifications are not always very noticeable and it's possible that your message was just missed. You can also type "@" followed immediately (no space) by a name to specifically mention someone. The dropdown menu on the right side tells you how many channel members are there and what their status is. Green means available (as far as Zoom knows) and red means they are on a call. Staff may be speaking to others already or taking a bathroom break, so stick around if you joined during the listed hours.

Note: If you don't want to do video, just use audio.


When you are done talking with us, please remove yourself from the channel. In the chat tab, you should see the channel in the left pane. Right click on it and select "Leave Channel". Otherwise you will keep receiving chat messages from other users.

Why not more hours?

We need to balance being accessible with existing assignments and projects. This helps employees make good progress on existing tickets while being responsive to new requests. You are always welcome to ask for meetings outside of these times.

This balances the need to have staff get other work done while providing hours where they are closing watching their Zoom client for people to pop in.
